Specs were given to me from the RFP that were created in the QCS or RMS.
How am I to insert information like this into a new project using specsintact since it is not a SI file? Or- what am I to request from whom if I am not to use the specs in the RFP?
Are there any links/resources about how the two software programs work together?
What file format did you receive? Not totally sure if I understand. You mean the spec sections that are in the RFP, no one comes forth with the SpecsIntact files and says “here, you can import these .SEC files we used to write the technical part of the RFP”, right?
Sometimes I have not been given anything more then the PDF of the RFP, even after asking until I am blue in the face. When this has occurred, I usually advise my client that unless the agency sends the .SEC files, I will strip out the spec PDFs from the RFP, and insert them into the final combined PDF.
If the agency requires SpecsIntact reports such as Section Verification, it is then necessary to note why those sections appear in the reports as missing. Perhaps then someone who has the original SI files will listen & send them, right? (This happened only once, about a decade ago! The rest of the time they have remained PDFs.)
The issuing agency has the .sec files and yes you need to request them. Unfortunately, you can export Word and PDF files from SI, but it won’t import cleanly from those file types without some major tagging. When importing from Word it is best to do so from an .RTF file not .doc or .docx.
I’ve been fortunate that the last D/B project in SI, the technical and front end sections were available upon request. If you need help with the process give me a call.
FYI - QCS and RMS is Army’s construction management system…to which the contractor would have access and privileges to specific portions of during const admin. The submittals register is exported from project SI files, as a text file, which is then given to agency so they can import into QCS/RMS system. That is the only relationship, that I know of, between QCS/RMS and SI.
thanks Steven- That is what I thought. Which confuses me. I am assuming these are older specs of the same building or other similar buildings (dorms). This is a renovation. But I don’t know why only that format is provided (the specs don’t look the same as in the SI format as those pdfs from that program). I need more information and don’t know how to get it or what to do.
Margaret- I definitely appreciate your help. Even if I was to import the pdf into SpecsIntact- the outline format or text is just not the same. The information has been manipulated too much. I’m not sure if it is really old and if the other program might affect the format. thank you

Are they Division 01 sections that do not affect the submittal register? In such cases I just add them to the combined PDF.
If they are technical sections, especially old ones, you may need to write them by starting from the current UFGS masters.
Chris- one is key- 01 33 00 submittal procedures- so I need that information in the SI spec- but the pdf does not match

yes Hadley, I looked at the document you sent again. It’s an outline of required services. You will need to create a new job file for the project using the current UFGS, and use the information culled from the model project 1877 and the info in the RFP for your editing resources. Shame they won’t send you the archive backup of that modeled project, but the PDF’s will provide some information.
Margaret- we have started a new project- but they think that because those documents are labeled as specifications in the RFP with spec numbers- (the outline of required services). If I need to create fresh specs (those specs don’t exist) who can fill in the information? the PM or the Contractor that awarded us this job? I’m not sure how to explain to the engineers that having all of the specs (or at least the division 01 specs) is a necessity. Is there a resource that I can use to teach these people that I must have these fresh in SI each time? thanks

I don’t know enough about you or the project to advise you further and this isn’t the forum to do so.
Im pretty sure you would want to always use the current 01 33 00 that loads with every new SI project. This and the references spec are integral to the automatic verification reports in SI. Hopefully these sections can be modified to the basic intent of whatever you received, if they even differ at all.
